Essex Properties guide to letting a property

Tenants please read Essex Properties step by step guide to renting a property, this will help you understand the process in renting a property. Understanding of the following will also help to speed up the process of the application.

Credit Checks and References

All applicants over the age of 18 to be residing at the property MUST be included on the tenancy agreement. An administration fee of £100 per applicant to include the credit check and reference will be charged.  For those applicants that require a guarantor an administration fee of £50 to include the credit check and reference will be charged.

A house

All applicants renting a property are subject to the results of the Credit check and references from our appointed Referencing Company.

For each applicant, the following documentation MUST be provided:

  1. Last 3 payslips
  2. Photo ID, such as passport or photo driving licence

Plus 4 documents from the following list of options:

  • 2 Dated within the last two months
  • 2 Dated between 5-12 months
  1. Current utility bill, gas, electric, etc.
  2. Mobile phone statement/invoice
  3. Current bank, credit card statement

To secure the property a £50 holding deposit is required which will be deducted from moving costs.


Moving In

On the day the tenancy starts all parties over 18 will be required to attend this office to sign the tenancy agreement and pay all monies due. The balance or dilapidation deposit will be due at that time, together with the first months rent. All rents thereafter are payable monthly in advance by standing order. Any guarantors will also be required to sign at this time. All monies payable on the moving in date must be cash or bankers draft. Applicants claiming Housing Benefit must advise our office when requesting a viewing of a property. 

Insurance for landlords and tenants


Dilapidation deposit equal to one months rent plus £100 is required. This is due on the day of the signing of the contract. This is held by Essex Properties under an approved insured scheme where landlords are resident in the UK, or under a mandatory deposit scheme where landlords are overseas, and is returned after the tenancy.


A full inventory will be prepared by Essex Properties and agreed within 7 days of commencing the tenancy agreement. This is appended to the tenancy agreement and used when carrying out the final inspection when the tenant vacates. This is to ensure the minimum delay for refunding the dilapidation deposit.

Tenancy Agreements

Essex Properties offers a twelve months rental contract, whereby landlord and tenant have to complete the first six months, with a two months break clause that can be given at month four. Please be aware some landlords may request a fixed twelve month contract. Renewal of the contract can be completed if both the Landlord and Tenant agree, at a fee of £48.

Periodical Inspections

Periodical inspections are carried out on a three monthly basis whilst the property is occupied, where we are instructed as Managing Agents. This gives us the opportunity to discuss any problems with the tenants and encourages prompt attention to minor problems.


Essex Properties will take instruction from the Landlord if pets are acceptable; it is deemed breech of your contract if you do not declare pets prior to the signing of the contract. We ask that you declare pets to Essex Properties prior any viewings to ensure the landlord will/will not accept the pet(s).
